Volunteer Administration Support Worker (x2)
WHM are looking for a team of administration support workers to support the smooth and effective day to day running of the organisation, working flexibly as a member of the WHM team. The role will involve supporting with key administration tasks such as collating information packs, ordering stock and dealing with post, contributing to WHM publicity and marketing campaigns, compiling and circulating WHM’s Newsletter, sourcing information, data entry and dealing with general enquiries.
We are looking for volunteers with some of the following skills, however training will be provided.
Computer literacy skills (including Microsoft Work and Excel)
Strong organisational skills
Excellent written communication skills
Good understanding of WHM’s work and key messages
Understanding of confidentiality and handling sensitive information
Role Title Administration Support Worker
Hours A minimum commitment of 1-2 hours per week
Reports to Volunteer Manager
Main purpose of the role
Along with other members of the administration team, ensure that projects are well organised with appropriate administration supported.
AREAS OF RESPONSIBILITY
Office Administration – Key Tasks
Office Admin Tasks
Responding to phone messages, emails, and enquiries
Dealing with the post system
Photocopying and laminating documents
Ordering and monitoring stocks of stationery
Collating information packs
Maintaining office and refreshment consumables
Publicity and Marketing
Compilation and production of WHM Newsletter
External marketing of WHM projects
Publicity design and production
Liaising with other agencies regarding WHM Publicity and information
Assisting in event organisation
Information and Enquiry Support
Maintaining and updating WHM’s noticeboards
Maintaining and filing resources including leaflets and up to date contact details for support agencies
Preparing information and materials for stalls and displays
Supporting Staff in admin tasks:
Word processing, including letters, reports and minute writing
Taking telephone enquiries
Assisting in the creation of materials and resources for groups and workshops
Contacting group members
Abide by and implement all WHM’s policies and procedures
Articulate and promote WHM’s philosophy and value base through the organisation, it’s work and projects with external partners and on social media.
